Definitions
The Website refers to the website iberiktranslations.com. References to the Company should be understood to encompass the single-member LLC incorporated in the state of Indiana known as “Iberik Translations, LLC” and the members, employees, officers and agents of that entity. Services are to be understood to mean “translation, editing, subtitling or any other task that the Company performs on behalf of a Client and documents or files that have been created by labor performed by the Company.”
Anyone who views or uses the Website is considered a User. Furthermore, any person or organization that sends emails, documents or files to the Company, or that corresponds with the Company by any means, is considered a User. Any person or organization who contracts for Services is considered a Client.
Purpose
Iberik Translations, LLC is committed to maintaining the privacy of its Clients and Users. This privacy policy describes Company’s practices regarding personally identifiable information (hereinafter “Data”) that the Company collects from clients.
What Data does the Company collect?
The Company collects:
· Your name;
· Your email address;
· Your phone number, if applicable;
· The physical address of your business, if applicable;
· Anonymized interactions on the Website, such as page views and button clicks;
· Correspondence you have with the Company to place an order;
· Documents and files you send to the Company for translation, editing or subtitling;
· Documents and files created by the Company pursuant to the completion of your order;
· Information relating to payment processing, such as credit card numbers and/or bank account information;
· Other Data you may disclose over the course of your contact with the Company. For example, if your email signature includes your phone number and the location of your office, the Company will collect this information.
How does the Company collect this Data?
You provide the Company with most of the Data the Company collects. You do so by using the contact form on the Website, emailing, calling or interacting on social media with the Company.
Your interactions with the Website will also be recorded. Examples of these interactions are page views and clicks on website elements. However, these interactions are collected anonymously and in aggregate and are not associated with any particular User or IP address.
How will the Company use your Data?
The Company collects this Data with the purpose of:
· Completing your order(s);
· Accepting payment;
· Continuing operations in the event of a disaster, computer failure, internet service failure, or other event that prevents the Company from operating at its normal location;
· Complying with relevant laws and regulations such as record-keeping requirements and tax codes.
How do we store your Data?
The secure storage of your Data is important to the Company. The Company uses what it deems commercially reasonable physical and technical security measures to protect your Data.
Any Data you email to the Company will be stored in the email inbox of andrew@iberiktranslations.com. This account is password protected and further protected by applicable security practices of Gmail.
Your Data will also be kept in documents created by the Company that relate to the fulfillment of your order and billing. Such documents will be stored on a) the Company’s main computer, b) an external hard drive that serves to back up the Company’s main computer and c) the cloud storage platform Microsoft OneDrive.
The Company’s main computer is securely kept at the Company’s operating location. Access to the computer terminal is password protected. Access to the Company’s cloud storage account is protected by password and further protected by the security practices of Microsoft. The external hard drive is kept in a secure location and is further protected by the security features of that device.
The Website is hosted by Squarespace. Access to the Company’s Squarespace dashboard is password protected and further protected by the security practices of Squarespace. Data which may be stored on Squarespace’s computer systems is protected by that company’s privacy practices.
The Company’s operating location is in the United States of America. As such, any Data sent to the Company will be transmitted to and stored in the United States. Additionally, the Company uses services provided by Google, Microsoft and Squarespace to provide Services. All three of these companies are located in the United States. While the exact location of Data in their systems is unknowable, it is likely that Data processed in their systems will be transferred to and/or stored in the United States. If you do not want your Data stored in the United States, please do not visit the Website or have any interactions with the Company.
Payment information will be transmitted to and possibly stored with a payment processor. The Company’s preferred payment processor is TransferWise. The Client and the Company may, upon mutual agreement, use a different payment processor. Whichever payment processor is used, Client Data will be transmitted to the payment processor and will be subject to the data protection policies of that organization. The Company does not control the privacy policies or data processing practices of third parties, including payment processors. As such, the Company is not liable for any events or legal proceedings arising from any actions or inactions on the part of third parties—including payment processors—who may collect Client Data.
The Company will keep your Data for up to two years after the completion of your business with the Company. The Company will store your Data in case it is requested by regulators and/or tax authorities. After two years, the Company will delete your Data. The Company will also delete your Data upon request as long as this will not interfere with the completion of your order(s), billing you for your order(s) or regulatory or tax requirements. The Company periodically reviews the Data it stores and will delete Data it no longer believes to be necessary before the two-year storage period has ended.
The Company contracts with other businesses to provide services. While the Company has attempted to contract only with firms with strong security practices, the Company has no control over the privacy policies or practices of the businesses whose services the Company uses. The Company thus assumes no liability for the privacy or data-processing practices of those other companies or for any events or legal proceedings that may result from those practices.
Communications with you
The Company may communicate with you regarding your contracting for Services, the submission of files and documents, and payment for Services. You agree to receive communications by email and/or phone that are necessary to complete business with the Company. If these communications are disregarded or not promptly answered, that may limit or prevent the completion of Services for you.
Marketing
The Company may send you marketing materials via email. These materials will serve as reminders of services that we think you might be interested in.
We do not share your Data with third parties for marketing purposes. Any transfer of your Data to third parties will be as a consequence of business functions mentioned elsewhere in this document. Examples of such practices are the storage backups of documents created by the Company or the submission of payment information to a payment processor.
You have the right to stop the Company from contacting you for marketing purposes at any time. If you no longer wish to be contacted for marketing purposes, please send a message to that effect to andrew@iberiktranslations.com.
What are your Data protection rights?
Users in the European Union have certain rights under the General Data Protection Regulation (GDPR). The Company would like to make sure that EU users are aware of their rights. If you are accessing the Website or Services from the EU, you have the following rights:
The right to access – You have the right to request copies of your personal Data from the Company.
The right to rectification – You have the right to request that the Company correct any information you believe is inaccurate. You also have the right to request that the Company complete any information you believe is incomplete.
The right to erasure – You have the right to request that the Company erase your personal Data when it is no longer legally necessary for the Company to retain it.
The right to restrict processing – You have the right to request that the Company restrict the processing of your personal Data, under certain conditions.
The right to object to processing – You have the right to object to the Company’s processing of your personal Data, under certain conditions.
The right to Data portability – You have the right to request that, where possible, the Company transfer the Data it has collected on you to another organization, or directly to you.

The Company, through the Squarespace platform, sees the number of page views and interactions with certain elements of the site, but this data is collected in an aggregated and anonymized way. Such data is not connected with any particular user, email, IP address or other identifying element.
